Comparing software prices by licence cost alone is an easy way to be caught out later. The real cost of a program includes pieces that don't always come up in the first conversation with a provider.
What's often left out of the base price
- Live support, which in many cases is a separate service rather than something included by default.
- Remote backups, usually contracted as an independent add-on.
- Access from a tablet or mobile devices, when it isn't part of the main licence.
- Migrating the data you already hold in your current system.
Useful questions before comparing quotes
Before putting two prices side by side, make sure they cover exactly the same thing: is live support included or an add-on? Do remote backups come by default or do they need contracting separately? Is the price per licence, per seat, or per resident?
The cost of not switching also exists
When your current system forces you to duplicate work across several tools, or leads to mistakes that need fixing afterwards, that time has a cost too, even if it never shows up on an invoice.
